Online School Reports System - F.A.Q

Q. We've concerns over data privacy with regards to putting reports online. Is the software secure?
A. Not only is the system secure - using the same encryption level found on online transaction processing stores - but better still, because our system is independent of your main MIS system, there is no private data which is at risk. The only information on students kept on the system are their names and reports.
Q. IT systems have a reputation of failing at the wrong time... how reliable is the online reports system?
A. Our school reports software is hosted on secure dedicated servers in the UK. They are hooked up to ultra fast connections and have backup systems, software and hardware firewalls in place. The backup procedures in place keep things in check in the unlikely event that something does go wrong.
Q. What are the requirements for this to work?
A. You need computers with internet access and a web browser (Internet Explorer, Firefox), nothing else! All software is hosted on dedicated servers which provide the resources needed. To import data from some management information systems you may already have in place, access and excel, or similar programs, are required.
Q. How long does the system take to get setup?
A. From arranging a consultation to installing and importing data can all happen in less than two weeks.
Q. What does the system do with students reports once they leave the school?
A. All student reports are archived at the end of each year. These are accessible by not just higher level members of staff but also parents/students.
Q. We have to present our grade data to our LEA and Central Government in a certain format, we already have a system in place to deliver this, will OSRS export to this system?
A. Exports can be setup at installation time. By default the system has built in exports to excel which can be customised within the system - we have worked in collaboration with pilot schools to ensure that these exports will meet most requirements of data presentation.
Q. Students move around during the year, some leave, some arrive... how does the system deal with this?
A. Depending on your existing MIS you may be able to import updated information as and when necessary. Otherwise the system has a fully featured data management system inbuilt so you can manage changes manually as they happen.
Q. It all looks great, but sounds like it could cost tens of thousands...
A. The system costs just £3,000 for a full school license. It's cost effective and pays for itself in no time at all in saved resources elsewhere. Please call or email to arrange a free consultation (in some instances we may ask for travel to be paid for) to further discuss cost.
Q. Is there a maximum number of students the system can take?
A. It can take as many as you need. In our pilot school there are over 30,000 reports from 3 years of testing and development whilst in use. We understand schools need to keep reports for ex students for as much as 10 years after they leave and the system has been built to cope with that level of data and more.
